Discretion is the foundation of a regulated immigration practice. This policy sets out how we collect, use, protect, and retain the personal information you entrust to us.

1. Introduction

Nobility Canada Immigration Services ("NCIS", "we", "us") is a regulated Canadian immigration practice led by a Regulated Canadian Immigration Consultant (RCIC). This policy explains how we handle personal information collected through nciscanada.ca and in the course of providing immigration advice and representation.

We are guided by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial privacy legislation, and the confidentiality obligations imposed on licensed immigration practitioners by their regulator.

2. Information we collect

We collect only the information needed to assess eligibility, respond to enquiries, and carry out a retained engagement.

  • Contact details — name, email address, telephone number, and country of residence.
  • Assessment form data — age, marital status, education, language test results, Canadian and foreign work experience, and, for business assessments, ownership history plus net-worth and investment ranges.
  • Documents you choose to upload — for example a CV or résumé attached to a business assessment.
  • Correspondence — the content of emails, form messages, and consultation notes.
  • Booking information — details you provide to our third-party scheduling provider when reserving a consultation.
  • Technical data — basic, aggregate information such as pages visited and device type, used to keep the site secure and functional.

3. How we use your information

Your information is used strictly for the purposes for which it was provided.

  • To assess your eligibility under federal and provincial immigration programs.
  • To generate an assessment result and direct you to the appropriate consultation booking.
  • To respond to your enquiries and provide immigration advice.
  • To prepare, review, and submit applications where you have formally retained us.
  • To maintain client files and records as required by our professional obligations.
  • To improve the clarity, accuracy, and security of this website.

5. Sharing and disclosure

We do not sell, rent, or trade personal information. Information may be shared only in the following circumstances.

  • With the licensed practitioners and authorised staff working on your file.
  • With referred legal counsel, where your matter requires representation by an immigration lawyer and you have agreed to the referral.
  • With Immigration, Refugees and Citizenship Canada, provincial immigration authorities, or visa offices, where you have instructed us to file on your behalf.
  • With service providers who host, store, or transmit data on our behalf, under confidentiality obligations.
  • Where disclosure is required by law, court order, or a regulator with lawful authority.

6. Third-party services

This website relies on a small number of third-party providers: an online scheduling platform for booking consultations, an embedded map service on our contact page, an email delivery service that forwards assessment submissions to our office inbox, and a hosted database that stores submitted assessments securely. Each provider processes only the data required for its function, and their own privacy terms apply to that processing.

7. Data retention

Assessment submissions and client records are retained for the period required by the professional obligations applicable to licensed Canadian immigration consultants, and for as long as necessary to respond to regulatory, audit, or legal requirements. Records are then securely deleted or destroyed.

8. Safeguards

Submitted information is transmitted over encrypted connections and stored in access-controlled systems. Access to client data is limited to authorised personnel who require it to perform their role. While no system can be guaranteed absolutely secure, we review our safeguards regularly and act promptly on any concern.

9. Your rights

Under PIPEDA, you have the right to:

  • Ask what personal information we hold about you and how it has been used.
  • Request access to your file, subject to lawful exceptions.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent to further use, subject to our retention obligations.
  • Raise a concern with us, and thereafter with the Office of the Privacy Commissioner of Canada.

10. Cookies and analytics

This site uses only the cookies and local storage required for it to function — for example to keep an authenticated administrator signed in. Any aggregate usage measurement is used to understand which pages are helpful and is not used to identify individual visitors or to serve advertising.

11. Children and dependants

We do not knowingly collect information directly from children. Where an application includes dependent children, their information is provided by a parent or legal guardian and is treated with the same confidentiality as all other client data.

12. Changes to this policy

We may update this policy to reflect changes in our practice, our service providers, or applicable law. The revised version will be posted on this page with an updated date. Material changes affecting existing clients will be communicated directly.
